Subject: First Day Briefing & Subsequent Actions
Minister,
I respectfully submit the following brief on your first day in office and report on actions taken and arrangements for tomorrow:
1. Office Layout:
Your request for a wipe-clean board has been fulfilled. The whiteboard (1.8m x 1.2m), along with accompanying marker pens and eraser, was installed today at 13:45 in the designated area to the right front of your desk.
The remaining basic office furnishings (desk, visitor sofa set, filing cabinets, telephone, map) have been configured to standard. Should you have any further preferences regarding layout, decor, or furniture, please advise at any time, and I can coordinate with Asset Management Division for adjustments within 24-48 hours.
The adjoining annex has been prepared with basic amenities (coat rack, tea/coffee facilities, basic refreshments/snacks). The key has been placed in the top-left drawer of your desk.
2. Private Office Support:
The shortlist for Principal Private Secretary (PPS) candidates, provided by the Cabinet Office, has been placed in your In-tray. Please advise if you wish to arrange interviews or require further background information on the candidates.
Until a PPS is formally appointed, I will temporarily assume PPS duties to ensure the smooth running of your daily work. Other seconded Private Office staff (one Executive Officer-grade Assistant Secretary, one Administrative Assistant-grade Clerk) are in place, available to manage daily document flow, appointments, and communications.
3. Schedule:
A preliminary draft schedule for the week has been placed in your In-tray for your review. Key items include:
Tomorrow (22 Jan): Morning: Review preliminary departmental terms of reference (prepared); Afternoon 14:30: Brief meeting with seconded Private Office staff; Initial policy discussion with Acting Permanent Secretary (time to be confirmed).
Wednesday (23 Jan): Afternoon 15:00: First Inter-Departmental Information Sharing Liaison Meeting (IDISLM). The list of participating departments and a draft agenda will be submitted for your review by tomorrow lunchtime.
Should you have any additional meeting, audience, or travel requirements, please inform me at any time, and I will coordinate arrangements immediately.
4. Communications & Filing:
The black rotary telephone on your desk connects directly to the Private Office (extension 101); external telephone lines are active.
The In/Out-tray system is operational; welcome letters and the draft schedule received today have been placed in the In-tray.
A preliminary internal departmental filing and numbering system has been established and will be briefly explained to you later.
5. Other Matters:
The building's heating system is currently being calibrated; the East Wing on the third floor (including your office) may warm up more slowly. A backup fan heater has been placed in the annex corner for use. My sincerest apologies.
A summary of key security and communication protocols has been prepared and can be provided to you at any time.
6. Action Points for Me:
Ensure the agenda and background materials for Wednesday's inter-departmental meeting are submitted for your review by 12:00 tomorrow (22 Jan).
Follow up on PPS appointment process.
Monitor heating conditions to ensure suitable office temperature tomorrow.
